Clarity Insight Privacy Policy

Last updated: 23 September 2026

This policy explains how Clarity Insight collects, uses, stores and shares personal information when you visit the website, request a free guide, subscribe to emails or purchase a service.

Who is responsible for your information?

Clarity Insight is operated by Carolyn Shepherd, a sole trader and the controller responsible for your personal information.

Email: carolyn@clarity-insight.co.uk
Correspondence address: Storehouse, Longhope, Stromness, Hoy, Orkney Islands, KW16 3PQ

Clarity Insight is registered with the Information Commissioner’s Office (ICO).

What information is collected?

Depending on how you use the website and services, information may include:

  • Your name, preferred name, email address and telephone number.

  • Billing and delivery information requested during checkout.

  • Your date, time and place of birth, the source of your birth-time information and how certain you are about it.

  • Questions, preferences and information you choose to share in forms, correspondence or sessions.

  • Order details, payment status, refunds and customer-service records.

  • Website membership details, marketing subscription choices and records of consent.

  • Birth charts, chart screenshots, working notes and personalised readings created for you.

  • Technical and usage information, such as your IP address, browser and device information, pages visited and cookie choices.

Most information comes directly from you. Payment services provide transaction updates, website services collect technical information, and charts and personalised material are created from the information you supply.

Please provide only information relevant to your enquiry or reading. Avoid unnecessary sensitive information, such as detailed medical records, and identifying information about other people. If sensitive information is needed for a particular service, its purpose and the appropriate permission or other legal basis must be established separately.

Why your information is used

Information is used to respond to enquiries, process purchases and bookings, prepare and deliver readings, provide member-area access, clarify birth information and deal with corrections or access queries.

It is also used to send requested resources, manage optional marketing subscriptions, maintain necessary business records, protect the website and services, resolve disputes and meet legal obligations.

Fields marked as required are needed to process the relevant form. Without essential information, it may not be possible to fulfil your request. You do not have to agree to marketing to buy a service or receive a free guide.

An unknown birth time can be recorded as unknown. Where noon is used for chart preparation, it is a working assumption rather than a verified birth time.

Legal grounds for using your information

Contract: processing necessary to take steps you request before purchasing and to fulfil your order, including preparing and delivering personalised material.

Legitimate interests: managing general enquiries, providing customer support, keeping proportionate service records, maintaining website security and handling disputes. These interests are balanced against your rights and reasonable expectations.

Legal obligation: keeping records or providing information where required by law, including applicable tax and accounting requirements.

Consent: optional email marketing and the use of optional analytics or other cookies where consent is required.

You may withdraw consent at any time. This does not affect processing that was lawful before withdrawal.

Astrology software and AI-assisted preparation

Birth information is entered into Astro Gold on Carolyn’s iPhone to calculate charts.

Clarity Insight also uses OpenAI tools, including ChatGPT Pro, to assist with interpretation, writing, illustration and document preparation. Relevant birth details, chart screenshots, your preferred name and information needed for your reading may be supplied to these tools.

Payment credentials, checkout addresses and telephone numbers are not needed for AI-assisted preparation. Only information relevant to the work should be included.

The ChatGPT account used for this work has “Improve the model for everyone” switched off. This is a model-improvement preference, not a promise that conversations or uploaded files are never stored. OpenAI processes information under the terms and privacy arrangements applicable to the service used. See OpenAI’s privacy policy.

Carolyn directs the preparation and reviews the completed Blueprint before delivery. Readings support personal reflection; they are not used by Clarity Insight to make solely automated decisions about you with legal or similarly significant effects.

Who handles your information?

The following services are used where relevant:

  • Wix: website hosting, forms, customer records, membership, bookings, orders, website measurement, chat and email marketing.

  • Payment providers connected through Wix, including PayPal: payment processing, transaction administration and fraud prevention. The provider involved depends on the payment method selected.

  • OpenAI: AI-assisted preparation of personalised material.

  • Heyzine: hosting completed Blueprints as password-protected online publications.

  • Apple iCloud: backup storage for client files and completed material.

  • Google Analytics: measurement of website use when you allow analytics cookies.

Charts are prepared using Astro Gold on Carolyn’s iPhone. Client files may also be stored on Carolyn’s Mac and backed up to a memory stick.

Payment providers handle payment credentials through their own systems. Clarity Insight receives transaction information needed to administer your order. Some providers also use information for their own legal, security or service purposes, as explained in their privacy notices.

Information may be shared with professional advisers or public authorities where necessary for accounting, legal obligations or handling a dispute.

Personal information is not sold. Personalised readings are not made public for advertising without separate permission.

Processing outside the UK

The services used may process information outside the UK, including in the European Economic Area, Israel and the United States. Information is not necessarily stored only in the UK or Europe.

The providers’ published arrangements describe protections such as recognised adequacy arrangements and contractual safeguards for international transfers. Relevant information is available here:

Contact Carolyn for information about the arrangements relevant to your data or assistance obtaining details of the applicable safeguards.

Marketing emails and free resources

You may choose to receive occasional emails containing reflective guidance, news and offers by selecting an optional subscription checkbox. Requesting a free guide, purchasing a Blueprint or submitting birth details does not require marketing consent.

You can unsubscribe through the link in a marketing email or by contacting Carolyn. Necessary messages about your purchase, booking or requested resource can still be sent.

A limited record of your unsubscribe request may be retained to help prevent further marketing being sent to you.

Cookies and website measurement

Cookies are small files stored by your browser. Wix uses necessary cookies for functions such as security, website operation and remembering your cookie choices.

The website also uses Google Analytics to help understand how visitors use its pages. This may involve online identifiers, device and browser information, page views and interactions. Analytics cookies are optional. See how Google uses information from sites using its services.

The cookie banner offers Accept, Decline All and Settings. Settings provides separate choices for marketing, functional and analytics cookies. Optional categories start switched off. A category appearing in the banner does not mean every possible tool in that category is installed.

The following cookies were identified during a public-site check on 23 September 2026. Other cookies may be used when you log in, use checkout or open a linked service.

  • XSRF-TOKEN, hs and server-session-bind: security and session protection; session cookies.

  • ssr-caching: website rendering and performance; short-lived, with Wix documenting up to 24 hours.

  • svSession: security, stability and core website operation; Wix documents approximately 12 months.

  • __cf_bm: automated-traffic and bot protection; approximately 30 minutes.

  • consent-policy: remembers your cookie choices; approximately 12 months.

  • bSession: Wix system-effectiveness measurement; up to 24 hours according to Wix, although shorter periods may apply.

  • _ga and _ga_*: Google Analytics visitor and session measurement; persistent cookies. The test browser recorded approximately 13 months, which can vary with browser limits and settings.

You can choose Decline All to refuse optional categories. You can also delete or block site cookies through your browser settings; deleting the site’s consent cookie causes the banner to ask again on your next visit. Clearing cookies may sign you out or remove saved preferences. Google also provides an Analytics opt-out browser add-on.

Accepting cookies does not subscribe you to marketing emails. External payment pages and Heyzine publications may use their own cookies and privacy controls.

How long information is kept

Online Blueprint access: at least three months from delivery, covering the reading period. Download and save your own copy during that period if you wish to keep it afterwards. You can retain your own copy for as long as you wish.

Completed Blueprints: up to twelve months from delivery for access queries, corrections and replacement copies.

Birth information, charts and related screenshots: up to twelve months from delivery.

Temporary drafts and unused production files: deleted within thirty days of delivery.

Backups controlled by Carolyn: corresponding backup copies are removed within thirty days after deletion of the main files, with monthly checks. They are not used for routine business purposes during that interval.

Enquiries and correspondence: kept while needed to answer the enquiry, provide any resulting service and resolve related issues; reviewed and deleted when no longer needed.

Order, accounting and dispute records: kept separately for the applicable statutory period or for as long as reasonably necessary to meet legal obligations or establish, exercise or defend a legal claim. This does not automatically require retaining the full reading or all birth information.

Marketing records: kept while needed to manage subscriptions, demonstrate permission and respect unsubscribe requests.

Replacing the Blueprint link in your member’s area does not automatically delete the earlier files. The retention schedule continues to apply.

You may request earlier deletion. Information may be retained where a lawful reason requires it. The schedule applies to active records and backups under Carolyn’s control; providers may retain residual backups, security information or legally required records under their own arrangements. Deletion requests will be passed to relevant providers where appropriate.

Protecting your information

Clarity Insight uses access controls appropriate to the information held. Completed online Blueprints are password protected, with access provided through your member’s area.

Keep your account details, Blueprint password and access link private. Someone with the relevant link and password may be able to view the publication. No online service or storage method can guarantee absolute security.

Your rights

Depending on the circumstances, you may ask to access or correct your information, request deletion or restriction, object to processing based on legitimate interests, or receive certain information in a portable format. You can withdraw consent where processing relies on it and object to direct marketing at any time.

Email carolyn@clarity-insight.co.uk to make a request. Reasonable identity checks may be needed. Requests are handled within the applicable legal timescale, and any lawful exception or extension will be explained.

Questions or complaints

Contact Carolyn with questions or concerns. You may also contact or complain to the ICO, the UK supervisory authority. You do not have to contact Clarity Insight first.

Changes to this policy

This policy will be reviewed when services or data-handling practices change. The latest version will appear on this page with its revision date. Significant changes will be brought to your attention where appropriate.
